We have scaled to meet a surge in demand for our support over the past two years, with our international team now responding to 774 calls for assistance across 68 countries. ROLE DESCRIPTION

You will play a key role in the effective operation of the organisation and the delivery of our leadership team’s priorities. As Executive PA, you will provide comprehensive support to our Senior Leadership Team (SLT) acting as a trusted partner and ensuring the effective management of executive activities. You will provide high-level administrative and operational support, helping the SLT to be individually and collectively organised and focussed, and freeing them to concentrate on delivering our ambitious new strategy. Your primary responsibilities will be:

EXECUTIVE SUPPORT (50%)

  • Provide comprehensive executive support, including complex individual and collective diary and inbox management.
  • Support the SLT in achieving strategic goals, priorities and objectives, while managing key operational responsibilities, ensuring deadlines and deliverables are effectively tracked, prioritised, and achieved.
  • Prepare agendas, reports and presentations.
  • Draft and send correspondence on behalf of the SLT and its members.
  • Identify potential issues early and take proactive action to resolve them.
  • Work collaboratively across departments to help ensure the efficient delivery of strategic goals and activities.

COORDINATION & COMMUNICATION (25%)

  • Act as an initial point of contact between the SLT and internal/external stakeholders.
  • Coordinate all remote and in-person meetings, managing scheduling, agenda prioritisation and logistics, while ensuring papers, actions and minutes are prepared and followed up effectively.
  • Coordinate events, conferences, and stakeholder meetings.
  • Support communication with donors, advisers, clients and partner organisations.

ADMIN & INTERNAL SUPPORT (20%)

  • Maintain accurate records and confidential documents.
  • Manage access to third-party providers for translation, interpretation, graphic design, and facilitators, as well as other ad hoc requests for support.
  • Oversee any purchase requests from the team.
  • Draft and track budgets and process expenses and invoices for the SLT.
  • Support the development and revision of relevant organisational policies and procedures under the ownership of the Finance and Operations team.

LEARNING & DEVELOPMENT (5%)

  • Partner with the Finance Director to identify your learning needs and avenues.
  • Integrate 360 and regular feedback into an annual learning & development plan.
  • Implement your learning and development plan and raise concerns on the delivery when relevant.

PERSON SPECIFICATION

ESSENTIAL

  • You will be based within the UK.
  • Have demonstrable experience of working as an executive personal assistant supporting a leadership team or at a senior level.
  • Excellent written and spoken English for drafting correspondence, managing stakeholders, preparing agendas and papers.
  • Proven organisational and time-management skills, with the ability to manage complex diaries, inboxes, competing priorities, and changing demands effectively.
  • Strong written and verbal communication skills, and high attention to detail, with the ability to build effective relationships and manage senior stakeholders professionally.
  • Sound problem-solving skills, and the ability to handle sensitive and confidential information with discretion.
  • Ability to work independently in a fast-paced environment with a positive and flexible approach.
  • Strong proficiency in common office, email, calendar, and communication tools. 
  • Commitment to the values and mission of the organisation and sensitivity to the progressive and rights-based missions and diverse profiles of our clients and other stakeholders.

DESIRABLE

  • Experience working within the charity, social enterprise, or not-for-profit sector.
  • Project management qualifications and experience.

TERMS AND RENUMERATION

We are a global, remote-first, and digital-nomad-friendly organisation. This is a remote, home-based role with some potential for travel for team meetings. It is a full-time role, 40 hours per week, on an initial 12-month fixed term contract.  Your line manager will be our finance director, Rosa Levin.
